These terms and conditions apply to accommodation bookings made through the official accommodation portal for Hauora Hinengaro Hui Taumata – Mental Health Conference 2026.
By completing an accommodation booking through this portal, you acknowledge that you have read and accepted these terms and conditions together with any hotel-specific terms shown during the booking process.
Accommodation bookings are subject to availability and must be completed through the official conference accommodation portal unless alternative arrangements have been approved by the accommodation team.
A booking is not considered confirmed until the reservation has been successfully submitted and a booking confirmation has been issued.
Group accommodation requirements may be subject to separate booking, payment and cancellation conditions.
All accommodation rates displayed through this portal are quoted in New Zealand Dollars (NZD) unless otherwise stated.
Any inclusions associated with a room rate, such as breakfast, Wi-Fi or other hotel services, will be identified in the applicable room description or booking conditions.
Optional hotel expenses incurred during the stay, including minibar charges, room service, parking, restaurant charges or other incidental expenses, are not included unless expressly stated and must be settled directly with the hotel.
Payment may be made using the payment options offered through the accommodation portal at the time of booking.
Where an invoice or bank transfer option is offered, payment must be received in full by the due date stated on the invoice or booking confirmation.
A reservation may be cancelled if full payment is not received by the applicable payment deadline.
Requests to change accommodation dates, room types or guest names are subject to availability and approval by the relevant hotel.
Changes may also be subject to the rate conditions or cancellation policy applicable to the original reservation.
Requests for amendments should be submitted to the accommodation team as early as possible.
Cancellation conditions may vary between participating hotels and room types.
Where the following standard cancellation policy is shown against your booking, it will apply:
Guests who fail to arrive on their scheduled check-in date may be treated as a no-show and may forfeit some or all of the accommodation amount paid.
Early departure after check-in may also result in charges for unused nights, depending on the hotel's individual policy.
Individual hotels may apply additional conditions relating to check-in, security deposits, incidentals, occupancy, parking, breakfast, additional guests, early arrival or late departure.
Where hotel-specific conditions differ from these general accommodation terms, the conditions displayed for the selected hotel or room rate will apply to that booking.
Accommodation reservations are separate from conference registration.
A change to conference dates, programme arrangements, venue, attendance or registration status does not automatically cancel or refund an accommodation reservation.
Delegates remain responsible for cancelling or amending their accommodation booking in accordance with the applicable cancellation conditions.
GMTC and participating accommodation providers will not be responsible for failure or delay in providing services caused by circumstances reasonably beyond their control.
These circumstances may include severe weather, natural disasters, government action, industrial disputes, public health emergencies, transport disruption, civil disturbance or other events outside reasonable control.
Where such circumstances affect an accommodation booking, any refund, credit or alternative arrangement will be subject to the applicable hotel policy and amounts recoverable from the accommodation provider.
GMTC facilitates accommodation reservations between delegates and participating accommodation providers.
Hotels remain responsible for the provision, standard, operation and delivery of their accommodation and related services.
If an issue occurs during your stay, delegates should raise the matter with the hotel as soon as possible so that the hotel has an opportunity to resolve it. The GMTC accommodation team may assist where appropriate.
Guests are responsible for providing accurate booking details, reviewing their confirmation and ensuring that their accommodation dates correspond with their travel plans.
Guests are also responsible for complying with the hotel's house rules and for settling any personal or incidental expenses incurred during their stay.
To the extent permitted by applicable law, GMTC is not responsible for indirect or consequential costs arising from accommodation arrangements, including airfare, transport, visa expenses or other travel costs.
Nothing in these terms excludes or limits any rights or remedies that cannot lawfully be excluded under applicable consumer protection legislation.
Personal information supplied during the accommodation booking process will be used to administer and fulfil the reservation.
Relevant booking information may be provided to participating hotels and service providers where necessary to process, manage or fulfil the accommodation booking.
Personal information will be handled in accordance with applicable privacy requirements.
